We get that plans can change, so we’ve crafted a clear and fair Refund Policy to keep things smooth if you need to cancel or adjust your tour. This policy applies to all bookings made through our website (www.cycletherapybikes.com) for guided and self-guided bike tours.
1. Cancellation by You
Life happens—flight delays, work surprises, or just a change of heart. If you need to cancel your tour, here’s what you can expect:
More than 60 days before tour start date: Full refund, minus a $100 processing fee per person to cover admin costs. We’ll process it within 7-10 business days.
30-60 days before tour start date: 50% refund of the total tour cost. We’ve likely secured accommodations and guides by this point, so this helps cover those commitments.
Less than 30 days before tour start date: No refunds, as we’ve locked in logistics like hotels, local partners, and permits (think Machu Picchu slots). However, you can transfer your booking to another person (see Section 3).
No-show or early departure: If you don’t show up or leave a tour early, no refunds are available, as costs are already incurred.
To cancel, email us at [email protected] with your booking details, and we’ll confirm within 48 hours. Refunds go back to your original payment method, though bank processing times may vary.
2. Cancellation or Changes by Us
We work hard to deliver every tour as promised, but sometimes things beyond our control—like extreme weather, political unrest, or supplier issues—force a change. Here’s what happens:
Full Cancellation: If we cancel your tour (rare, but think natural disasters or safety concerns), you’ll get a full refund, including the deposit, within 7-10 business days. Alternatively, you can choose a credit for a future tour valid for 12 months.
Itinerary Changes: If we tweak a tour’s route or schedule (e.g., swapping a trail due to road closures), we’ll notify you ASAP. If the change significantly alters the experience (like skipping Machu Picchu), you can request a partial refund or switch to another tour, subject to availability.
Force Majeure: For events like earthquakes, strikes, or pandemics, we may offer credits instead of refunds, as costs may already be committed to local partners.

3. Booking Transfers
Can’t make it but know someone who can? You can transfer your booking to another person up to 14 days before the tour starts, subject to a $50 transfer fee per person. The new traveler must meet any tour requirements (e.g., fitness level for advanced tours like Himalayan Heights). 4. Deposits and Payment Plans
Most of our tours require a non-refundable deposit (typically $500 for guided tours, $300 for self-guided) to secure your spot. This covers early bookings with local partners, like hotels or guides. If you’re on a payment plan, missed payments may lead to cancellation without refund of prior payments. We’ll send reminders to keep you on track.
5. Travel Insurance
We strongly recommend travel insurance to cover unexpected cancellations, medical emergencies, or trip interruptions. Our tours, like those in Patagonia or the Alps, can involve remote areas where flexibility’s key. Insurance can protect you if you need to cancel for reasons like illness or family emergencies. Check providers like World Nomads or Allianz for cyclist-friendly plans. Note: our refunds follow this policy regardless of insurance status.
6. Special Considerations
Promotional Offers: Tours booked with discounts or special offers may have stricter refund terms, detailed at booking. Check your confirmation email for specifics.
Group Bookings: If you book as a group, cancellations affect the whole party. Refunds follow the same timeline, but we’ll work with your group leader to minimize disruption.
Blog and Content Use: Our blog articles (like “Sustainable Cycle Touring”) are free to access, and no refunds apply to content or newsletter subscriptions. You can unsubscribe anytime via email links.
